Terms of use
Version 1 of 28.10.2026. Draft based on an initial expert assessment, not yet reviewed by a lawyer.
This is a translation for information only. The German version is binding.
1. What this is about
These terms apply between Vorname Name (provider, see the legal notice) and everyone who uses VereinsOps: the people with an account and the associations that use VereinsOps. How VereinsOps processes an association’s data on its behalf is also governed by the data processing agreement.
2. What VereinsOps is
VereinsOps helps associations organise their work: board, meetings, minutes, tasks and reminders, members, simple finances and fees, documents, export and handover. VereinsOps gives no legal advice and replaces neither the statutes nor the decisions of the association’s bodies. VereinsOps is being built; features may change. If a feature an association uses is removed, we announce it beforehand.
3. Account
- An account is for people aged 18 or over and belongs to exactly one person. You do not share your login details.
- Anyone who manages, handles billing or is the main person responsible in an association must set up a second factor.
- You can delete your account at any time (Mein Konto → Konto löschen).
4. The association in VereinsOps
- Whoever creates an association becomes its main person responsible in the app and accepts the data processing agreement on the association’s behalf. This role in the app is not a representation of the association under its statutes; the board decides who may do this for the association.
- The association decides who gets which access, and is responsible for the data it records. It records only what it needs for its purposes and informs its members about it.
- Uploaded files and texts remain the association’s. It gives VereinsOps the right to store, display and export them, only in order to provide the service. The association uploads only content it may use and that is not unlawful.
5. Reminders and deadlines
VereinsOps reminds of deadlines and tasks. The association nevertheless remains responsible for meeting its deadlines itself. A reminder does not guarantee that it arrives or is read in time, for example if an email ends up in spam or a deadline is entered wrongly.
6. Availability, maintenance and backups
- We run VereinsOps with care, but cannot promise uninterrupted availability. We announce maintenance beforehand where possible.
- We back up all data every hour, encrypted, in Switzerland, and keep the backups for 90 days. Every month we check that a backup can be restored. If the server fails completely, up to one hour can therefore be lost.
- The association can download a full export at any time and so keep its own copy.
7. Support
You report questions and errors via «Rückmeldung» in the app. Support looks into an association’s data only if the association gives it access for this explicitly and for a limited time; every page opened and every change is visible to the association.
8. Pilot, prices and subscription
- During the pilot phase, VereinsOps is free. Pilot associations are covered by the same rules on data protection and security as paying associations.
- A price applies only once we have announced it to the association at least 60 days in advance. Until then the association can decide whether to continue; the export always remains possible.
- A subscription lasts one year and is paid in advance with an invoice, payable within 30 days.
9. If an invoice remains unpaid
- After the payment deadline, we remind the billing contacts and the main person responsible by email.
- Before we restrict anything, we send a final reminder with the open amount, the consequences and a last payment deadline of 10 days.
- If the invoice is still unpaid after that, the association can only read, search, download and export; reminders about tasks continue. Creating and changing things is possible again after payment.
- If it is still open 60 days after the payment deadline, only the export and the subscription page remain.
Nothing is ever deleted in the process, and after payment everything is possible again immediately. If the association disputes an invoice and contacts us, we restrict nothing until we have looked into the matter.
10. End
- The association can leave VereinsOps at any time. It first downloads the full export; accounting records and other documents it must keep, it keeps itself.
- An association can be deleted only with the agreement of everyone with «Verwaltung» (management) rights; 30 days follow in which only the export is possible, before all data is deleted.
11. Liability
For damage we cause intentionally or through gross negligence, we are liable without limitation. For slight negligence, we are liable at most up to the amount the association paid for VereinsOps in the last 12 months. We are not liable for missed deadlines insofar as the association must monitor them itself under section 5.
12. Changes to these terms
If these terms change, we show the new version with its changes and ask for agreement once at the next login.
13. Law and place of jurisdiction
Swiss law applies. The place of jurisdiction is the provider’s place of residence, unless the law mandatorily provides otherwise.
